The Role
The Gifts Co-ordinator works alongside the Gifts Project Manager, Category Lead & Gift Design Lead to support communication and development within the Gifts category. This role involves working collaboratively as a team and within the wider business.
Communication and organisation are key to this role. The Gifts Coordinator is responsible for managing the various aspects of design licensing and for communicating across multiple teams. They will also support the rest of the team with meeting deadlines and key important dates.

Key Responsibilities
- Coordination and updating of Licensing for all gift category products, including but not limited to Gift Designs, Poetry & Gift Products whilst working closely with the internal legal team, alongside the Category Lead and Gift Design Lead.
- Arranging the send-outs of gifts, poems, samples included under licence within the legally set out timelines in the design licence tracker. Supported by Gifts Project Manager where required.
- Supporting the send outs of thank you gifts for our internal Talent Pool attendees, building long lasting relationships, with support from Gifts Project Manager.
- Managing an invoicing tracker for design payments and updating when paid.
- Support Gifts Project Manager with new product launches, and the creation of First Look slides and PRI sheets for new collections.
- Business reports - Supporting the Gifts Project Manager with the creation and communication of internal business reports, including weekly sales data & final sales data analysis. With knowledge of reporting systems - including Power Bi) for this role.
- Liaising with finance teams to gain regular knowledge of category sales overviews and updates on wider business sales data.
- Regular communication with freelance designers, maintaining and creating long lasting relationships with external agencies, artists & groups. Updating with sample images, progress of the project, gathering inspiration quotes and sending final global photography upon launch. With support from Category Lead & Gift Design Lead.
- Responsible for checking in Gifts Manufacturing that gifts under specific licences are being prepared correctly at the beginning of a launch, alongside the packaging R&D team.
- Working with the Gift Design Lead & Category Lead attending visits to new & existing artist groups, maintaining and building long lasting relationships.
- Showcasing and communicating internal & external business comms around artist groups and freelancers.
Skills, Knowledge and Expertise
- 1 - 2 years industry experience, or prior knowledge of the business
- Some legal experience or prior knowledge of commercial licensing
- Experience of reporting systems and knowledge of Power Bi
