The Role
As our Maintenance, Facilities and H&S Manager, you will hold a pivotal role in ensuring the safety, compliance, and smooth day-to-day running of 47 stores, our Paris head office, and our digital fulfilment centre across France, Belgium, and Luxembourg. Leading a team of two coordinators, you will balance technical maintenance and leasehold obligations with a rigorous focus on QHSE and Health & Safety regulations. From managing preventive maintenance contracts and risk assessments (DUERP) to overseeing office logistics and travel for our creative teams, you will be the driving force behind a "5-star" environment for our staff and customers alike.

Key Responsibilities
Facilities & Maintenance Management

Estate Oversight: Ensure the smooth day-to-day operation and maintenance of 47 stores across France, Belgium, and Luxembourg, including the Paris Head Office and Digital Fulfilment centre.

Preventive Strategy: Manage all preventive maintenance contracts (HVAC, plumbing, electrical, etc.) and lead the resolution of emergency repairs to minimise impact on trade.

Leasehold Compliance: Monitor and execute repair obligations in line with lease agreements, ensuring cost-effectiveness and high standards of workmanship.

Process Improvement: Create and update internal maintenance procedures and regulatory documentation to train and support store management teams.
Health, Safety & QHSE (Quality, Health, Safety, Environment)

Regulatory Leadership: Act as the QHSE lead for France, ensuring all sites provide a safe environment in accordance with local labour laws and accessibility regulations.

Risk Management: Lead the creation and management of the DUERP (Document Unique d'Évaluation des Risques Professionnels) for all French sites.
Audit Coordination: Organise and oversee mandatory visits from controlling bodies (e.g., Bureau Veritas) for fire safety, electrical compliance, and hygiene certificates.

Accident Analysis: Analyze work-related accidents in partnership with the Works Council and People Experience (HR) to implement preventive measures.
Office Operations & Logistics

Head Office Management: Oversee day-to-day office logistics, including mail, stationery, cleaning services, and third-party supplier management (catering, etc.).

Travel Coordination: Manage travel and accommodation bookings for retail and support teams, as well as external stakeholders like journalists and influencers.

Retail Support: Provide logistical support for store openings, relocations, and closures, including the procurement of equipment and the sustainable disposal of assets.
Reporting & Insurance

Environmental Declarations: Collect and submit critical data for official environmental declarations, specifically CITEO (packaging/paper) and OPERAT (energy consumption).

Insurance Management: Handle the end-to-end process for accident and property claims, from initial filing to expert visits and compensation follow-ups.
People Leadership

Team Management: Provide direct leadership, mentorship, and support to two Maintenance, Facilities & Office Coordinators, ensuring high performance and professional development.
Skills, Knowledge and Expertise
- Proven experience managing facilities or operations across a multi-site retail estate (ideally 30+ stores).
- Experience operating across France and the Benelux region, with an understanding of the differing logistical and cultural landscapes.
- A track record of managing and developing direct reports (Coordinators or Administrators).
- Significant experience managing preventive maintenance contracts, emergency repairs, and leasehold obligations.
- Experience supporting retail life cycles, including store openings, refits, and closures.

QHSE Expertise: Deep knowledge of French Health & Safety regulations, specifically the DUERP (Document Unique) and workplace safety standards.
- Familiarity with coordinating visits from controlling bodies like Bureau Veritas and interacting with labor inspections.
- Understanding of French environmental declarations, specifically CITEO (packaging) and OPERAT (energy consumption).

Language: Fluency in French and English is essential (written and verbal). Knowledge of Dutch is a significant advantage for the Benelux region.
- The ability to pivot from high-level safety strategy to granular office management tasks (like travel booking or stationery orders).
- Experience managing budgets, checking store orders, and ensuring "value for money" from third-party contractors.
- A "5-star service" mindset with the ability to build strong relationships with Store Managers, the Works Council, and external influencers.
- Knowledge of handling commercial insurance claims and understanding the maintenance clauses within commercial leases.
