We are looking for a highly qualified, service-minded person with a positive and flexible attitude and an international outlook for our reception and front office.

Your Impact
As our Receptionist and Front Office Administrator you will have the following main responsibilities: organizing day-to-day operations in the reception, taking care of all calls and visitors, in addition to a variety of administrative tasks within office services, administration and finance.
You will perform various tasks on-site and keep a welcoming and organized reception and office space. You will also provide various support services to visitors and colleagues.
You will be the first point of contact for clients and visitors coming to the office. You will greet all visitors politely and professionally and guide them. It’s also important to maintain and manage the meeting rooms and coordinate reservations to ensure smooth communication with clients.
You will establish and adjust security rules for office access, manage visitor entry, and issue and manage security badges for colleagues.
You will manage mail, packages, and international deliveries, and play an important role in delivering documents and items to colleagues working externally. This includes IT equipment, which also needs to be managed in inventory.
You will print documents directly in the office based on requests from colleagues, and bind them. If needed, you will also send printing requests to an external vendor.
You will handle the issuance of official documents, notarization, and provide support for visa-related tasks for transferees. External activities may also be required.
You will also provide backup support for other office service team members when needed.
Our opening hours are 08:00-16:00 and you will be working 8-hour shifts within this period.
Your qualifications and skills
- Higher education or 2+ years of relevant experience
- Ability to work collaboratively in a team environment
- Experience from events and/or administrative projects
- Solid experience in computer systems
- Previous experience in administrative tasks, preferably within accounting/finance
- Ability to communicate effectively - both verbally and in writing - in English as well as the local office language
