As our part-time Office Services Assistant, your role will be multi-faceted, including playing a key role in office safety, reception, and facility management. Your work will help ensuring life in the Luxembourg office is enjoyable by both colleagues and visitors.
As the first point of contact for visitors and callers to the office, you will welcome visitors, including clients and colleagues from other offices, and help to book meeting rooms.
You will also help to support facility maintenance, taking care of anything that needs to be fixed, replaced, or renovated. You will also liaise with key local suppliers (such as cleaning staff, building management, etc.) and support basic invoices and budgeting.
You will play the role of security coordinator, organizing fire drills and ensuring fire safety standards are met, coordinating with our landlord and suppliers for safety equipment, ensuring the office has the required safety equipment and serving in the role of "Travailleur Désigné" to identify and provide workplace hazards.
Our opening hours are 08:00 - 16:00 and you will be working shifts within this period.

Your qualifications and skills- 2 years of corporate and/or professional services experience
- Excellent organizational capabilities, including the ability to initiate tasks independently and see them through to completion
- Ability to expand your role beyond responsive support to proactive contributions and ownership for administrative tasks; ability to work independently
- High sensitivity for confidentiality management
- Ability to work in-person
- Ability to operate office equipment
- Strong communication skills, both verbal and written, in English and French, with the ability to adjust your style to suit different perspectives and seniority levels
